Reach for Equity (REACH) is dedicated to empowering vulnerable communities in Asia to meet their essential health, humanitarian, and development needs. Reach for Equity focuses on helping communities affected by conflict, violence, and displacement in remote and hard-to-reach contexts and marginalized by poverty and exclusion.
Primary Responsibilities
- Lead the procedures for sub grants contracting (i.e., drafting of Letter of Agreement (LoA), Letter of Contribution (LoC), and Fixed Amount Award (FAA), and others to implementing partners according to grants management procedures at REACH.
- Assist organizational assessments to help partners identify key challenges and risks in organizational management.
- Maintain a partner information database including all key stakeholders (donors, implementing partners, network members etc.
- Be part of team for sub grant compliance tracking process in accordance with existing partnership guidelines at REACH and corresponding donors.
- Monitor and evaluate the consistent usage of grants management procedures at REACH by all stakeholders.
- Reinforce and build internal capacity for the consistent usage of grants management tools at REACH by all stakeholders.
Regular Responsibilities
- Coordinate with program and finance team in support to launch new funding opportunity in accordance with grants management procedures at REACH.
- Take part in developing all necessary tools and conduct documented pre-award due diligence process of current and potential partners and ensure necessary follow-up actions are taken.
- Registering the EOI, concept note or proposals in the system (both predetermined partner or the bidding partners).
- Coordinate with program and finance to organize proposal review committee meeting and take meeting notes and follow up actions if necessary.
- Assist due diligence to new partners and or existing partner those whose’s due diligence is expired.
- Draft letter of award and or letter of regrets for Finance and Grants Manager review and endorsement prior to emailing to respected organization via proposal review committee emails.
- Draft letter of Agreement (LoA), Letter of Contribution (LoC), and others for Grants Manager, Finance and Program review prior submission to Management and partner signatory.
- Check and ensure all the annexes and supporting documents are included in the agreement.
- In coordination with Program and Finance focal Grant Officer tracks and updates the grants tracking sheets in google drive (upstream and downstream) regularly.
- Should there be any partner’s agreement is going to expire, alert to program focal to check whether it is to be extended, amended, or close out.
- Verified the partner’s payment request are in line with grants agreement and deliverables are achieved by using payment request checklist from program.
- Participate joints team monitoring trips to partners project area if the situation allowed.
- Draft grants closeout checklist and ensure all stakeholders provide the inputs for proper grants closure.
- Record the grants related documents (i.e., for the whole grants management cycle) in google drive and share with relevant focal.
- Assist Grants Manager closely with other stakeholders and provide input to Program Team if necessary, to take timely and prompt action.
Partner Support
- Collaborate with the organization capacity development team to enhance the grants management capacity of the partner organizations.
- Build strong and collaborative positive working relationship with partners and other staff members.
- In collaboration with program and finance, support for orientation preparation to new sub grants partners.
- Assist Grants Manager for planning and direct training for partners on procedures and the grant management system if needed.
- Work with REACH staff and partners to conduct systematic organizational assessments, facilitate knowledge management and develop context-relevant organizational learning tools and methods.
- Collaborate closely between finance and program team to provide current data on grant, including partner needs.
- Work with Program Team to manage distribution of sub-grants, including Letters of Agreements (LOAs) and others and monitoring sub-grant tracking system.
- Maintain regular communications with sub-grantee staff to ensure feedback, “on the pulse” knowledge about grants and to ensure compliance.
- Ensure up-to-date and accurate tracking of all sub-grants to partners.
ESSENTIAL SKILLS
- Must have but not limited to a bachelor’s in business administration or similar.
- Prefer experience with in-country major donors’ compliance, and finance/budget planning knowledge.
- Excellent in English and Thai competency for all 5 skills: writing, reading, listening, speaking, and learning new subjects.
- Proven experience in grants management and have excellent organizational skills for at least three years if possible. A new graduate is also encouraged to apply.
- Ability to communicate with diverse stakeholders.
- Proven ability to multitask, work collaboratively across diverse teams, work independently, and deliver results.
