Primary Responsibilities

  • Assist the Procurement and Logistics Coordinator on the procurement process for the purchase and delivery of goods and services for program activities
  • Generate and share stock report with related program teams in monthly basic
  • Maintain warehouse procedure and manage warehouse goods storage systematically
  • Conduct physical counts with related program team to ensure expiry date, balance quantity, physical condition of medicines is under control
  • Issue waybill for all dispatch goods and follow up received signed from partners clinic level
  • Filing require document such as GRN, Stock Release approval, stock physical counts check, monthly stock reports and distribution waybills for auditing purposes
  • Support in developing Standard Operating Procedure (SOP) for medical and stock management for partners
  • Maintain the asset and inventory list
  • To support in logistic activities if needed
  • Other tasks assigned by line manager

Regular Responsibilities

  • To check quantity, expiry date, physical condition of all receiving goods from suppliers against the GRN, PO issued by procurement unit and share information with respective program teams for distribution planning
  • Coordinate with respective program team to share update information of stock balance, expiry date to support program activities
  • Organize warehouse space, storage, cleaning, ventilation, temperature control, safety and security to comply with REACH warehouse policy
  • To carry out regular updating of day-to-day activities (received and dispatched) goods information in stock card and to submit monthly stock report every first week of the month
  • To share monthly stock report with related program team to be aware of stock balance, expiry dates to support distribution plan
  • To conduct physical count check with related program team and get signed on count check format for filing and auditing purpose
  • Issue waybill for all dispatch goods from warehouse and follow up the signed waybill from multilevel of partner’s organization in order to get completed stock filing
  • Ensure all GRN, Stock card, stock report, Physical counts and waybills are keep systematically in file for each donor
  • To support technically to all partners organization if they need to develop or review SOP to meets with their internal guideline or donor requirements

Partner Support

  • Assist line manager in orientation/training to partners on procurement process to ensure compliance with donor Guidelines
  • Support in developing inventory control system & maintaining minimum medical stock levels of REACH local partners
  • Monitor the drug stock management for each partner and provide technical inputs if needed
  • Carry out all duties having due regard for the health, safety of yourself and others, in accordance with REACH policies
  • Carry out the duties in a manner of promoting equity and showing due respect for all REACH’s local partners by understanding their norms, culture and local context

Capacity Building and Supporting Other Staff

  • Liaise with, and coaching other colleagues in all aspects of procurement and monitoring of pharmaceuticals and health commodities and other supplies for both REACH and partners

Operations and Administration

  • Lead the office assets registration process and follow up the regular update periodically and to report timely respective departments
  • Maintain documentation and filing systems in accordance with REACH standard and
  • Remain flexible to perform other duties as required or requested

ESSENTIAL SKILLS

  • Bachelor’s Degree in medical related field or equivalent or supply chain management
  • Minimum of 3 years of experience in procurement and logistics/or its related fields is required
  • Knowledge of UN/INGO rules in Logistics and procurement is preferred
  • Knowledge in managing medicines and medical stocks will be an advantage
  • Excellent communication skill in Thai (4 skill), English, Karen or Burmese is an asset
  • Ability to travel and good team work
  • Proficiency in MS Word, Excel and other basic computer applications
  • Ability to work in a multidisciplinary and multicultural environment
  • Good team building & excellent interpersonal skills
  • Ability to manage multiple priorities and work under pressure with minimal supervision
  • Ability to meet deadlines with strong attention to consistency, detail, and quality
