Inspire Asia (IA) is a social enterprise established to empower local communities for their sustainable development. INSPIRE ASIA works together with local organizations to increase their capacity to deliver essential health, education, development, social and humanitarian assistance services in Myanmar and Thailand. For over a decade, INSPIRE ASIA has honed its expertise in equipping local partners and organizations with the skills and resources needed to provide primary healthcare, education, livelihood opportunities, and community development programs in both suburban and remote areas.
INSPIRE ASIA is looking for a qualified candidate to support Administration and Human Resource management for the entity. The Admin and HR Officer will work closely with the finance and program teams to ensure that all the Administration, Human Resource Management and Procurements are fulfilling the entity’s requirements.
Primary Responsibilities
Administration and General Support
- Perform day-to-day administrative activities for the office including maintenance/ repair of office buildings, equipment, etc.
- Supervise and oversee office cleaning and housekeeping.
- Update internal contact list (phone + email) and external contact list regularly (phone, name, address: NGOs, MOI, SS, MOL, Hospital, Police Station, Fire station, etc.)
- Organize/ install information boards and ensure all needed information is accessible to all.
- Manage in/ out document letters and visitor reception.
- Support in processing rental agreements for office, staff house, warehouse, and Office vehicle which includes updating the lease register and ensuring payment to the Lessor.
- Provide, procure, and maintain office supplies, equipment, and stationery.
- Coordinate with suppliers, vendors, and service providers to support team activities.
- Ensure all procurement processes follow Procurement and Logistics Guideline and donor rules and regulations.
- Coordinate and arrange accommodation and transportation for INSPIRE ASIA staff and visitors.
- Provide logistical arrangements for training, workshop, or organizational events; and prepare monthly cash projections.
- Ensure registration, marking, and tracking of all assets on receipt of the asset(s) by recording and affixing INSPIRE ASIA and Donor (where applicable) Asset Tags; and
- Provide support in updating the Asset Register regularly.
- Be focal for workplace safety and security by developing plans, managing programs, training staff, and ensuring compliance with regulations
- Provide administrative support in dealing with Thai authorities such as the Ministry of Interior (MoI), the Ministry of Labour (MoL), the Social Security Fund Office, Immigration, etc.
Human Resource Management
- Involve in the recruitment process of the entity
- Involve in the general onboarding process of the new staff like an orientation session
- Make sure the separating process are by the policy and procedures
- Responsible to initiate the payroll calculation process in collaborating with respective focal units
- Responsible to lead the income tax process in terms of calculation and engaging with the respective departments
- Involve in the learning and development process and employee relations activities
- Responsible to make sure the data are up to date time to time
- Assist with performance management procedures
- Arrange, support and update files related to visa, and work permits for Expat/Non-Thai of staff.
Essential Skills
- Bachelor’s degree required in a relevant field, preferably in human resources administration, business administration, etc.
- At least 3 years of experience in a related position and NGO work is a plus.
- Excellent verbal, reading, and written communication and presentation skills, in both Thai and English.
- Good cooperation with all vendors and service providers.
- Knowledge and experience of the process for handling visa applications and work permits in Thailand.
- Good coordination, service-oriented thinking, and ability to manage simultaneous tasks with deadlines.
- Experience in working in a multicultural environment.
- Ability to handle sensitive confidential information.
- Strong computer skills
- Ability to multi-task and manage simultaneous priorities under tight deadlines.
- Strong organizational, secretarial, and planning skills with attention to detail Ability to apply discretion and handle sensitive confidential information.
- Excellent interpersonal skills with the ability to interact professionally with employees at all levels.
